Job Description

The Project Coordinator is responsible for assisting in the planning, coordination, and execution of projects within a pre-engineered steel company supplier. This role involves working closely with project managers, clients, and various internal and external teams and vendors to ensure that projects are completed on time, within budget, and in compliance with quality and safety standards.

Responsibilities:

  • Assist in the development of project plans, including scope, objectives, and deliverables.
  • Coordinate project activities, tasks, and schedules to ensure alignment with project
    goals.
  • Collaborate with project managers to track and manage project progress.
    Serve as a secondary point of contact for clients, providing regular updates and
    addressing inquiries along with the Project Manager.
  • Maintain strong client relationships by ensuring their needs and expectations are met.
  • Communicate project status, changes, and issues to clients as required.
  • Organize and maintain project documentation, including contracts, drawings,
    specifications, and permits.
  • Assist in the preparation and distribution of project-related documents to stakeholders.
  • Ensure accurate record-keeping and document version control.
  • Receive shop submittal from PM and assign to vendor for forward any documentation
    needed to the parties involved (internal and external)
  • Gather all BOM’s from vendors to share with clients at time of delivery.
    • Update Shipping log for logistics to update client of schedule. 
      • Logistics to send all BOM’s for all shipments
  • Assist in resource allocation and scheduling for project teams, subcontractors, and
    suppliers.
  • Coordinate the procurement and delivery of materials and equipment as needed.
  • Monitor resource utilization and availability.
  • Support project managers in budget management, including tracking project costs and
    Expenses.
  • Prepare and process purchase orders, change orders, and invoices as required.
  • Collaborate with the finance team to ensure accurate financial reporting.
  • Review quote for accuracy and confirm it is within budget, to be confirmed with PM.
  • Confirm payment terms for order.
  • Update CRM for final job cost associated.
  • Assist in quality control activities to ensure that project deliverables meet specified
    Standards.
  • Monitor and document quality-related issues and facilitate their resolution in
    collaboration with the Field Services team.
  • Contribute to inspections and quality audits as needed.
  • Collaborate with internal and external stakeholders, including project teams,
    subcontractors, and suppliers.
  • Facilitate effective communication and collaboration among various project participants.
  • Attend project meetings and provide administrative support.

Qualifications:

  • Bachelor’s degree in Construction Management, Engineering, Business, or related field (preferred).
  • 1-2 years of experience in a project coordination or administrative role within the construction or steel industry is advantageous.
  • Proficiency in project management software and Microsoft Office Suite.
  • Knowledge of construction processes, terminology, and safety practices.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy.
  • Problem-solving and critical thinking.
  • Team collaboration and interpersonal skills.
  • Ability to adapt to changing project requirements.
  • Efficiently able to execute many tasks.
